Dear New Homeowner:

Welcome to our neighborhood and congratulations on the purchase of your home!

On behalf of the Homeowners Association Board of Directors, we would like to welcome you to your new home and our community. Over the coming months we look forward to meeting you whether it be walking down the streets, at the pool or a community activity.

The operation of your homeowners association is governed by a board of volunteer directors and a Management Team (Core Community Management). The Board of Directors is elected by the community to oversee the daily functions and financial responsibilities of the Association. The Board is also responsible for maintaining members’ compliance with the established covenants and bylaws of the Association. They have specific provisions regarding what can and cannot be done on your property. Please take the time to read through the Bylaws and Covenants documents you received during the home purchase process. Copies are available on the community web site.

Our community web site at: http://www.birkhillhoa.com is the official communication channel between the Board of Directors and the membership. Upcoming activities and events, announcements, a community calendar, bylaws, architectural review forms, and volunteer committee information can all be found there. Please take a few minutes to visit and familiarize yourself with its resources and get to know your community. The web site provides ready answers to most of the questions homeowners have through our FAQs Section of the website. If you don’t find the information you need there, Core Community Management can be contacted through the email given in the contact section. Please remember to register on the website with a valid email address to insure delivery of important communications from your HOA Board.

Core Community Management should be contacted for service issues on community property, complaints regarding specific bylaw violations and for any questions regarding your annual homeowners’ dues assessment.

As a new homeowner, you may already have some ideas on how you’d like to improve your property. Please keep in mind, the Association has an Architectural Review Committee to help maintain the quality of our neighborhood. Its function is to evaluate the plans for all exterior landscaping, repairs and remodeling to ensure compliance with all Covenants and Bylaws. The purpose of this review is to protect our scenic environment and maintain the value of our homes. All modifications to the exterior of your property, including repainting with the same color, must be submitted to the Architectural Committee for approval before any work begins. If work is started without prior approval, the homeowner risks being cited for a covenant violation and may be required to alter or remove the changes at significant additional cost.

Homeowners Association Architectural Guidelines and Forms-  All modifications to the exterior of your property, including painting, must be Information submitted to the Architectural Committee for approval prior to beginning the project.  Forms for submitting requests for approval can be found in the forms area on the community website

Property Inspections - Neighborhood inspections occur periodically to identify maintenance problems. If any large property maintenance issues need to be addressed, homeowners will be notified by mail.

Violations- One warning will be issued each calendar year. Homeowners are subject to fines if not corrected before follow up inspections. You may report other homeowners if they are violating and rules by filling a report a violation form in the requests section. 

Trash Collection - Trash Collection is on Monday and Thursday every week

Pool Information- The pool is an amenity offered only to birkhill residents and their guests. It opens in May and closes in September. The dates are posted in the calendar on the HOA web site. Hours are 10:00 AM – 10:00 PM. Entry to the pool requires an access code provided to each homeowner.  Access to pool area is limited to homeowners in good standing (no balance owed on assessments or fees). Pool rules are posted at the pool and on our web site.

Assessments- Assessments are due the 1st of every month. each calendar year. Please see the make a payment section of the website for payment options.

Things to get set up

Website login- You will need to go to www.applegatehomeowners.com and fill out a login request. We cant give you a login request until we get the closing payoff from the title company and the account is put into your name. This could take a couple of weeks to get done. Please be patient.

Automatic Payments- 

Insurance poicy including the HO6 Policy-

Update your information with the management company- When you receive your login for the website you can fill out a homeowner update request form. It is located under the request tab on the website.
To check your account balance- The website applegatehomeowners.com will have your account balance information

To find copies of the legal dedicatory documents Declaration, Covenants, Conditions & Restrictions- The website under documents/ legal documents it will have the Rules and Regulations. You can usually ask your real estate agent to give you a copy of these.Homeowners are bound by these additional restrictive covenants and bylaws. Rules address such items as pets, noise, parking, payments, repairs, etc.

Cable- you will need to call Sky Sat at 801-978-0022. Make sure you tell them that you live in Applegate HOA with a bulk contract and you need to set up your FREE service. You receive free basic cable with your HOA fee.
To receive a pool key- Fill out the request form on line and a pool key will be mailed out to you. There is a fee of $25 for a new pool key

Electric- Please call Murray Power at 801-264-2626 to set it up for you.

Internet-
Parking space- The parking space should have your address number labeled on the parking spot for the covered parking. You also have an uncovered parking space (you may need to ask a neighbor to help you find this one).
To get my post office key- You need to call Murray Post Office for information. Most Post offices tell you that you will need to replace the lock yourself. If this is the case then you can do it yourself or hire an handy man to help you.
To do any upgrade or changes to the exterior- All modifications to the exterior of your property, including windows, painting, fences & landscaping must be submitted and approved by the ARC prior to beginning the project. There is an Architectural request forms for submitting requests for approval can be found on the website.

General information

Dues Cover: water, sewer, garbage, basic cable
Amenities: The Association has a clubhouse that includes a fitness center, an exterior swimming pool and an indoor spa that is available year round, a playground and laundry facilities.

Board Meetings- Currently Applegate HOA holds regular board meeting. Homeowners are welcome to attend these meetings. If there is something specific you would like to discuss please let us know in advance.
Annual Meeting- Currently Applegate HOA holds only one annual meeting. Notices are mailed in sufficient advance by the management company to ensure your attendance. Each homeowner is encouraged to attend the annual meeting. The annual meetings are normally held in the Fall.

Property Inspections- Neighborhood inspections are held by the management company at the minimum every month to identify covenant violations. If issues arise and need to be addressed respective homeowners will be notified by email.
Service Requests- Homeowners are asked to address any such correspondence with the management company via the website by going to the requests tab on the website.

To report violation within the association- Please submit your inquiry to the the management company on the request page of our website:
Speed Limit- The speed limit throughout the neighborhood is 10mph. Every homeowner, guests and service personnel are encouraged to pay attention to the speed limit. With our curvy streets, people walking and children playing, 10 is definitely plenty.

Parking- Parking should be only in designated parking spaces RV,Boats, Trailers- No RV’s, boats and/or utility trailers may be parked in ones drive-way or in the street unless in use and parking is only momentarily
Guest parking- All Guest parking is marked with a sign please know where these are.
Insurance- Please contact your insurance agent and ask him how the insurance works. You will want to ask him about an HO6 policy and tell him the HOA deductible is $10,000. Our current HOA agent is Rick Scadden - 801-393-1122.
Pet restrictions in the community- The Community permits a maximum of two (2) domestic pets with normal leash law requirements. The weight limit for dogs is 30 pounds.
